Terms of business effective from 30th November 2023
I want to keep the terms of business for our work together as simple as possible, but I do know it is important that we have some form of written agreement to ensure both parties have clarity and protection.
The bullet points below cover general aspects of our work together and form part of our agreement. Before I commence any work for your business, I will email you a confirmation of assignment (detailing the tasks I will be undertaking for your business, along with our agreed outcomes and deadlines). I ask that you reply to the email confirming you understand and accept both the confirmation of assignment and the terms of business. That email confirmation and the terms of business below then form our agreement.
Please note that, as I will not commence any work for your business without your written acceptance of the confirmation of assignment and terms of business, any delay in receipt of confirmation may impact on agreed deadlines.
General terms
Invoicing and payment terms
These terms of business may be updated as necessary. A copy of my updated terms of business will be provided at the start of any work I do with you. If my terms of business are updated during ongoing work, you will be notified of any changes and you will be given the option to accept the new terms of business or continue under the terms of business agreed at the start of our contract.

General terms
- I will provide an initial consultation and quote free of charge. Consultations and quotes will be via telephone, online meeting or email.
- I will always provide the highest level of confidentiality. Further information about how I handle, process and store data can be found in my Privacy Notice. If required, I am happy to sign a non-disclosure agreement provided by the client.
- I will proofread and check all work I do for your business, although the client is responsible for final proofreading and checking.
- Once payment is received, ownership of the work undertaken by Claire Stock | Virtual Assistant will transfer to the client, including any copyrights.
- To ensure security and to protect both of us, please do not share passwords directly with me. My preferred password manager service is LastPass, but if you already use another provider I am happy to use alternatives.
- My working hours are 9am to 5pm Monday to Friday.
Invoicing and payment terms
- For work undertaken on my standard hourly rate, clients will be invoiced weekly, unless a different schedule has been agreed.
- For work undertaken on my bundled hour packages (10, 20 or 30 hour packages), clients will be invoiced once the purchased hours have expired.
- The 10 and 20 hour packages are valid for 4 weeks from purchase. The 30 hour package is valid for 8 weeks from purchase. The purchase date is the date the client accepts, in writing, the confirmation of assignment and terms of business, unless an alternative agreed start date specified in the agreement.
- Any additional costs incurred as part of the client’s work, for example, postage, printing or outbound calls, will be added to the invoice as itemised Additional Expenses.
- Payment must be made by bank transfer.
- Payment terms are 14 days from the invoice date.
- Overdue invoices may result in a statutory interest charge as per Government guidance on late commercial payments.
